Homeroom Assistant supports educator-supervised classroom workflows. This page explains student information categories, responsible roles, sharing and device limits, our retention schedule, and how to raise a privacy request. The public demo uses fictional memory-only examples, not real student records.
Student information and use
Depending on the classroom features used, the signed-in service may handle student names and rosters; attendance; lunch selections or related notes; hall passes; assignments; groups; lessons or planning references; participation indicators such as positive recognition or warnings; behavior information; and text, images, annotations, or other media placed in Teacher’s Desk materials. Technical information may also be processed to authenticate access, store and display records, support offline use, maintain the service, and respond to support or safety issues.
Educators and authorized school staff may enter information. Students may provide information through a supervised classroom view, such as a kiosk interaction. The account holder or school may provide roster information. A browser or device may hold temporary or offline copies. A hall-pass destination is a classroom record selected for that pass; it does not mean Homeroom Assistant is tracking a student’s GPS location.

Educator, school, family, and student roles
Before student information is collected, the applicable authorization and notice requirements must be satisfied. Homeroom Assistant remains responsible for notices and consent obligations imposed on it as the operator; educators and organizations remain responsible for their own authority and obligations. This page does not itself complete those steps. Student age, a school relationship, or an educator’s account does not by itself establish that every required consent or notice is complete.
School affiliation alone does not grant access to another classroom. Students may see a supervised kiosk or shared classroom display; educators may use a private workspace for planning and records. Information placed on a shared screen or included in an export can be seen or copied by others. Educators and organizations should choose what to display, who can access it, and where exported or printed files are kept.
Use commitments
Our policy prohibits selling student information, using it for targeted advertising or commercial profiling, or using student content to train general-purpose AI models. These commitments apply when our service providers process information for us. Independent third-party websites you choose to visit have their own policies.
Some applicable rules may require specific notices or permission before information about a child is collected. This page is not a compliance certification and does not replace a notice, consent, school agreement, or other step required for a particular classroom or student.
Kiosks, screens, and exports
Use supervised kiosk and shared-display workflows with appropriate attention to who is nearby and who may use the device next. Signing out can end an active session, but does not itself erase server records. Authorized browsers may keep information for offline use, recovery, or trusted-device functions. A device that is disconnected cannot receive a remote deletion instruction until it contacts the service.
Downloaded, printed, or shared files leave the service’s direct control. Clearing browser data can remove unsynced work or require setup again; it does not erase server records or backups. The Cookie & Browser Storage Policy describes these browser effects.
Retention limits
Our retention schedule and its implementation status are set out in the Privacy Policy retention table. Its limits are summarized here:
- Student and classroom records: through the original academic year plus 12 months, capped at 24 months from creation; if the academic year is missing, 12 months from creation.
- After account or classroom closure, or verification of an authorized deletion request: active-system deletion within 30 days, handled promptly.
- Rolling backups: no more than 35 days; restricted remnants can remain up to 65 days total when combined with the active-system period. Deletions are reapplied before restored data returns to ordinary use.
- Routine technical logs: 30 days. A necessary restricted incident copy: up to 90 days after investigation closure, with a necessity review every 30 days while open. Minimal deletion receipts: 12 months without student names or deleted content.
- Support correspondence: up to 90 days after case closure; copied student information keeps its original record clock.
- Student-free reusable lessons: while the account is active, then 30 days after closure. Student-containing Desk materials follow the student-record clock.
A shorter applicable law or accepted school requirement prevails. Any legal hold must be documented and limited to necessary records, purpose, access, and duration; it does not keep an entire account indefinitely. Archives or migration do not restart a retention period.
Requests and notices
Students, parents or guardians, educators, or school representatives may email privacy@homeroomassistant.com about access, correction, deletion, or stopping further collection. To protect classroom records, we may need to verify identity and authority and coordinate with the responsible educator or school when appropriate. That process is not a blanket waiver of rights.
Any required notice and permission must be in place before student information is collected. Homeroom Assistant remains responsible for obligations imposed on it; educators and organizations remain responsible for their own authority and obligations. This online page does not itself provide a required direct notice or complete consent or a school agreement. The public demo is separate and fictional; do not enter real student information there.
